Maintaining your Property
Maintenance requests are generated through inspections, telephone requests, additional work as a result of previous or current jobs, or a preventive maintenance plan. Maintenance work is reviewed and authorized by Ramona Property Managers, Inc. and assigned to the appropriate vendor. After reviewing our pre-determined spending limit, we monitor the job for completion, quality, and costs. Any non-emergency work over our pre-determined limit is reviewed with our clients before work is started.
All service calls are reviewed and referred to vendor to resolve. If an emergency threatening health and/or safety occurs, we will respond within the hour to repair or secure your property.
All maintenance work discussed below will either be handled on a bid basis or assigned as the need arises. You may choose to have your own contractor perform maintenance, but please advise us before we assign the work order.
With the exception of routine, periodic, and preventative inspections, maintenance is an expense against the property and is not included in the management fee.
Heating and Cooling
Hire and supervise qualified heating and cooling vendors to perform all HVAC maintenance and service. Establish conditions and requirements of maintenance program. Review and advise on all bids and contracts.
Electrical
Supervise and administer necessary electrical service calls. Review, advise, and assign electrical work to qualified vendors.
Elevators
Co-ordinate and supervise annual inspections. Review reports and advise with client regarding necessary corrective measures. Resolve any failures or emergencies immediately.
Janitorial
Co-ordinate and schedule necessary cleaning and janitorial services. Provide periodic inspection of hallways, elevators, restrooms, and entryways. Meet with vendor for a complete inspection and review of contract for services.
Plumbing and Fixtures
Review plumbing work as requested by tenant. Schedule and supervise work performed by vendor. Assign costs of repairs according to leases. If tenant responsible for maintenance beyond normal wear and tear, tenant is billed for costs of work.
Minor Painting
Review and advise exterior paint condition. Repair or touch-up chipping or peeling paint. Provide bids from vendors if entire exterior is necessary. Supervise interior painting for repairs or vacant units.
Roofing and Drains
Inspect roof once a year. Review and advise on condition of roof. If necessary, obtain bids on repairs or replacements and discuss with client. Clean gutters and downspouts twice a year.
Weatherization and Seasonal Maintenance
Review and advise on specific needs specific to our clients property. Execute preventative maintenance plan to weatherize including, but not limited to, closing outside vents, covering hose bibs, and any other item as agreed and understood between Ramona Property Managers and our clients.
Grounds Maintenance
Provide periodic exterior inspections to verify property is swept and looking clean. Schedule and supervise professional landscaping company to maintain common areas.
Graffiti Removal
Removal and elimination of graffiti is a top priority within our company. Within 24 hours after notification, our staff is making arrangements to clean up or touch up effected areas. Usually, graffiti clean up and cover up can be completed within a few days.
Parking Lots
Review and administer annual contracts with a professional parking lot sweeper for services on a pre-determined basis.
