Ramona Property Managers, Inc. monitors building performance and maintains custom-designed management plans to successfully maintain appearance, improve value, and increase cash flow of the investment to meet the future needs of our clients. Currently our residential portfolio includes managed property for city governments, retirement funds, family trusts, and non-profit organizations.

 

Managing the Property


 

Our first priority is a thorough inspection of the properties, including roofs, gutters, and downspouts. We also look at the landscaping, laundry facilities, any amenities for the property, and the interior of the apartments when available. If necessary, Ramona Property Managers will suggest any preventative or corrective actions to improve your property based on this initial inspection.


 

Another immediate goal in managing the property, is developing a relationship with the tenants. After an initial notice that the Owner(s) have retained the services of Ramona Property Managers, Inc. we will assess the status of their rental agreement or lease. When possible, we will sign tenants to new agreements with Ramona Property Managers.


 


 

Our Service


As part of the management fee, Ramona Property Managers, Inc. includes the following services:
 

Administration: Track and log phone calls. Schedule and supervise maintenance requests and responses. Review leases and rental agreements to determine dates and amount of rent increases. Assist tenants in application process. Record and file owner and tenant documents and notifications. Contract for annual and periodic services such as landscaping, pool maintenance, and inspection of fire safety equipment.
 

Filling Vacancies: Renting units is what we do best. Our goal is to have the unit turned and rented as fast as possible. We advertise the property as soon as we have confirmation that the tenant has moved out, and we encourage on-site managers to take reservations so that the units can be rented quickly.

 

We have long term relationships with our vendors which gives us the opportunity to move fast to turn units. If there are maintenance problems that discovered upon move out, we coordinate with our maintenance department or with your vendors to have the repairs completed as soon as possible

 

Tenant Screening: Tenant selection is a major part of successful property management. Our screening process includes background checks for credit, references, current employment, previous rental history, bankruptcies, and a registry search for evictions. All tenants must apply for vacancies in person and provide proof of a verifiable source of income, a valid picture ID, and a valid social security number.

 

Rent Collection: Ramona Property Managers, Inc. will collect all rents from tenants, post funds to our clients' ledger account, and deposit the funds into a real estate trust account at a federally insured financial institution. Rents are generally deposited within 24 hours of receipt, and always deposited within 72 hours of receipt.

 

On or about the eighth of the month we review the delinquency reports and send out 72-hour notices to pay rent or quit. On or about the 15th of the month, if the tenant has not paid their rent or vacated the premises, we begin the process of recovering possession of our client's property.
 

Periodic Inspections: Ramona Property Managers, Inc. periodically inspects the exterior of all properties every 6-8 weeks. The inspection is to determine what, if any, maintenance is needed to maintain or improve the value of our clients property. Results of the inspections are relayed to our maintenance staff and any maintenance is reviewed and scheduled.
 

Schedule and Supervise Maintenance: Ramona Property Managers, Inc. has a staff of experienced maintenance people that take care of many property needs including painting, carpentry, and plumbing. Our entire crew has worked with Ramona Property Managers at least 8 years and are led by a member of the team that has been with us almost 15 years.
 

Ramona Property Managers, Inc. responds to any maintenance or service needs a tenant may have. Calls are routinely followed up within 24 hours, except in emergency or during a system failure when immediate response is necessary.
 

You do not have to use our maintenance staff. If you prefer to using your own maintenance, landscaping, or other vendors, all we ask is you provide us with contact information.
 

Accounting: On the last business day of every month, the accounting for each property is closed. Reports are mailed to the owners during the first week of the following month. These reports include financial statements showing the following:

Enforcement Action: If necessary, Ramona Property Managers will serve enforcement notices and follow up with tenants accordingly. Failure to comply with a notice may result in a court proceeding for eviction or unlawful detainer. While Ramona Property Managers will appear in court on behalf of the owner for the initial proceeding, all legal actions and filings are provided by a law firm at additional expense to the owner.
 

Competitive Pricing: Ramona Property Managers, Inc. charges one fee for all services contained in the contract. Our management fee is a percentage of the gross income or a flat rate determined during contract negotiations. Ramona Property Managers, Inc. does not charge leasing fees, annual fees, set-up fees, or fees to manage vacant units on any of our properties.
