Our Process
Immediately after we are retained, we will send out letters to all members introducing Ramona Property Managers as your managing Agent. We will then meet with the members to start developing our channels of communication as soon as possible. We find our conversations frequently identify concerns or problems with the structure, management, other members, or neighborhood not easily identified through visual inspections.
Financial Performance and Reporting
Ramona Property Managers, Inc. deposits all Association funds in a federally insured financial institution trust account in the name of the Association. These are funds used to pay the expenses related to the property such as maintenance, utilities, contract commitments, and management fees.
Ramona Property Managers, Inc. uses the most current Windows version of Tenant Pro 7 Property Management Software. Tenant Pro is a specialized proprietary financial software designed specifically for use in property and association management. This program allows us to create categorized income and expense accounts specific to your needs. Gross revenue and expenses are posted to categorized accounts to create detailed, accurate financial statements that track exactly what money was received and where it was spent.
Reports
We will send you detailed reports on the tenth of each month showing Association income and expenses paid for the previous month. The income register shows which members have paid, which members have not paid, and the current status of corrective measures. Attached copies invoices help to track and verify details of all expenses paid.
Buying or Selling
If you are interested in selling your existing home or condo or would like to inquire about purchasing one within or outside of your association, please contact one of our Brokers. We have partnered with a hand picked group of residential sales professionals to assist you with this process. They will also be happy to provide you with a competitive market analysis free of charge.
Scope of Services
These services are included in the monthly management fee:
Accounting:
- Collect the Owners Assessments
- Pay bills
- Provide monthly income & expense reports
- Follow up on late & delinquent owners
- Complete monthly bank reconciliation
- Submit annual reports for state agencies
- Assist in preparation of Annual Budget
Board & Association Meetings:
- Meet with the board of directors and Association, not to exceed 4 times per year
- Review, advise, and assist with problem solving techniques not related to legal or tax issues
- Insure necessary actions are before the Board
- Assist in preparing agenda, reports & proxies for annual meeting
Maintenance Reporting:
- Review, report, and advise Board of Directors on all maintenance issues once a month including code violations, safety hazards, and weatherization (in person or on the phone)
- Track maintenance work orders
- Use licensed & bonded companies/contractors
- Review, advise, and assist the bid submission process for all large maintenance and repairs
- Review and track all maintenance services
- Supervision of staff, sub-contractors, and independent contractors
- Notify Owners of work schedules
- Sign off on satisfactory work
- Annual Budget Review
Administrative:
- Periodic site visits
- 24 hour Maintenance Emergency
- Maintain owner directory and owner files
- Assist in enforcement actions on all accounts 90 days past due
- Arrange and assist in legal foreclosure after Board action
- Perform duties in accordance with California state law as Agent of Record
- Establish and maintain bank accounts and bank account records
- Work with owners regarding CC&R and By-law violations
